Job Description

  • The Executive Assistant provides executive, administrative, and development support to company CEO.
    The Executive Assistant serves as the primary point of contact for internal and external parties on all matters
    pertaining to the CEO. The Executive Assistant serves as a liaison to company internal senior management
    team; organizes and coordinates executive outreach and external relations efforts; and executes and assists
    special projects as needed and requested by the CEO.
  • The Executive Assistant will maintain, coordinate and execute the CEO's schedule, including arranging
    meetings with internal and external parties, booking and arranging travel accommodations.
  • The Executive Assistant will provide administrative support to the CEO including translating, drafting, sending
    messages and content via various communication channels and drafting, proof-reading and generating official
    or general content for CEO's use of various purposes.



Primary point of contact on CEO related matters:
 Communicate with related parties on the CEO's behalf and coordinates logistics with high-level
meetings both internally and externally
 Communicate directly and/ or on behalf of the CEO with management team members, clients, and
others as directed, drafting and/ or sending official CEO office announcements
 Manage the CEO's email inbox and other communication channels as requested (respond to and follow
up on emails/ contacts on the CEO's behalf; sort, flag, remind, and delegate important emails/ contact)
 Provide daily office assistance such as answering phones, accepting package and other deliveries,
lunchtime relief, and greeting and signing in visitors/guests for CEO
 Provide "gatekeeper" and "gateway" role for direct access to the CEO's time and office
 Uphold a strict level of confidentiality
Maintain, coordinate and execute CEO's schedule:
 Manage, plan and coordinate the CEO's calendar and schedule, and ensure the CEO's schedule is
followed and respected (schedule meetings and calls via appropriate channels, events, appointments,
and ensure the CEO's time is being allocated as needed and to the highest priorities, timeline
expectations, and key relationship management; coordinate with clients, investors, and internal team
to arrange calls and meetings on behalf of the CEO)
 Assist the CEO with daily administrative duties that include but not limited to completing expense
reports; arranging complex and detailed travel plans, itineraries and agendas
 Uphold a strict level of confidentiality
Administrative support to the CEO:
 Compose and prepare correspondence; compile documents for meetings
 Draft reports, letters of solicitation, proposals; prepare and coordinate oral and written communication
with related parties as requested
 Support CEO on external commitments, such as service on external boards, committees and other
groups if applicable
 Maintain a reminder schedule for the CEO for important clients/ contact's birthdays; important events,
coordinate with related internal parties on sending CEO's blessings, and drafting related content
 Assist in and attend meetings. Take meeting minutes and send to related parties for follow-up as needed
 Assist in coordinating the agenda of management team meetings. Prepare an account of the meetings
and designate and follow up on assigned action items
 Uphold a strict level of confidentiality

The Successful Applicant

  • Academic Background (minimum and preferred requirement and discipline) University degree or higher
  • Working Experience (minimum and preferred requirement) 5+ years related working experience required
  • Language Skill (written/spoken and level of proficiency) Must be fluent to native in English, and fluent in Mandarin
  • Certificate / Profession Skill requirements
  • Competent in common business software such as Microsoft Office 365
  • Experience using ERP systems is a plus
  • Other specific Knowledge / Skills requirements
  • With common business management sense project management experience will be a plus.
