Job Description

Departmental and Administrative Functions

  • Serve as the primary liaison between the Clinical Operations Department and the Administration (ADM) Department regarding operational and logistical matters.
  • Manage and coordinate the internal departmental framework, including the clinical study registry, the supply depot.
  • Maintain comprehensive document and filing management for the department, ensuring working efficiency, accuracy and audit-inspection readiness.
  • Manage and coordinate Service Procurement activities, including contract review and tracking vendor documentation.

Finance and Budget Support

  • Support departmental finance management activities, including input for the annual budget process, processing vendor invoices, and managing expense applications.
  • Ensure timely processing and tracking of payments related to clinical vendors and department expenditures.

The Successful Applicant

  • A Bachelor of Science (BS) or Master of Science (MS) degree.
  • Minimum of 2 years of experience with a focus on administrative, finance, or documentation coordination. in a clinical setting (CRO or Pharmaceutical company) is a plus.
  • Basic understanding of the drug development process and biomedical terminology.

Skills

  • Fluency in Chinese (Mandarin) and English (written, listening, and speaking) for required documentation and communication.
  • High IT Literacy, specifically advanced proficiency in MS Excel (for budget/expense tracking) and familiarity with electronic document management systems (e.g., eTMF).
  • Strong organizational skills and demonstrated ability to manage multiple administrative priorities simultaneously.
  • A proactive and detail-oriented mindset, demonstrating strong analytical and problem-solving skills
